Your privacy
This page covers what Solar Pioneer does with personal information, whether it reaches us through this site, a phone call, or a conversation at the counter in the Yanagase arcade. We are a one-shop pet supply business in Gifu City, so the volume of data is small, and so is the list of things we do with it.
We treat names, email addresses, phone numbers and the details of your animals as personal information under Japan's Act on the Protection of Personal Information (APPI). The business responsible is Solar Pioneer, 〒500-8833 岐阜県岐阜市神田町5丁目14-3, and purchasing, correspondence and record-keeping are all handled by Fumiko Shimizu.
What we collect
Through the enquiry form we receive your name, your email address, an optional phone number and your message. Messages about a pet often include its species, age, diet and any health notes your vet has given you. We keep those because the answer depends on them: a recommendation for an adult dog with a grain sensitivity is not the same as one for a senior cat on a kidney diet.
For a nutritional consultation, an aquarium walkthrough or a small animal habitat review, we may also take notes during the session, or look at photos and measurements you bring. Those notes are written for the next conversation with you and for nothing else.
This site has no accounts, no basket and no loyalty scheme. The server that delivers the pages may keep standard access logs for fault-finding, which we do not use to follow individual visitors.
What we do with it
Details are used to reply, to prepare for a visit, and to arrange an order or delivery you have asked for. If you tell us your dog is on a vet-directed diet, we use that to check our shelf against it, and to tell you when a line you rely on is about to run out.
We do not send newsletters or promotions unless you ask for them. If you have asked to be told when a seasonal item such as the autumn coat-care grooming kits comes in, we use your email address for that message and nothing more.
Should we ever want to use information for a purpose beyond these, we will ask you first, as the APPI requires.
Who else sees your data
We do not pass your details to advertisers, data brokers or other shops. Where you have asked us to arrange delivery, the courier receives your name, address and phone number, which a parcel cannot do without.
Our partnership with a veterinary clinic in Gifu City works in one direction: the clinic refers owners to us for diet guidance between appointments. We do not send the clinic information about you unless you ask us to pass on a note, in which case we send exactly that note.
The only other exception is a legal order that we have no right to refuse. We check that it is valid and disclose only what it demands.
Retention
Enquiries are deleted when the matter is settled, or after about six months if you stop replying. Consultation notes are kept for twelve months from the last visit, so that you do not have to repeat your pet's history at the next one, and are then destroyed.
Order and delivery records are kept for as long as tax and bookkeeping rules require, usually up to seven years. Paper copies are shredded at the end of that period.
Access and deletion
You may ask to see what we hold about you, to correct it, to have us stop using it, or to have it deleted. You may also object to a particular use. Ordinary requests are free.
Write to info@solar-pioneer.com, or ask at the counter on any day from Wednesday to Monday. We will confirm who you are by replying to the address or phone number we already have, and we answer within two weeks. If a legal duty stops us deleting something, such as an invoice, we will tell you which record and why.
Security
Email lives in a password-protected mailbox opened only by the people who answer you. Consultation notes are kept in a folder behind the counter, away from the shop floor, not on a shared device.
If a leak ever touched your details, we would tell you directly and report it to the Personal Information Protection Commission, as the Act requires.
